Templates

The templates function allows you to create and edit document templates that are utilised for functions where documents need to be sent from PropertyIQ. For example, levy notices, general correspondence, meeting notices, information certificates and covering emails. There are three types of templates in PropertyIQ:

  • Standard merge templates
  • Custom merge templates
  • Standard email templates

Standard merge templates

These are for all the standard forms and notices you need.

PropertyIQ has generic templates for the following template types but you will need to configure them to suit your location and company preferences:

  • Information Certificates
  • Annual levy notice
  • Due notices
  • Arrears Notices
  • Final Notices
  • Legal Notices
  • Special Levy Notices
  • Debtor Invoices
  • Utility Invoices
  • Work Orders

PropertyIQ has blank standard merge templates for these types.  You will need to create these to suit your location and company preferences:

  • Meeting notice (used as a cover sheet if using the motions library
  • Meeting minutes (used as a cover sheet if using the motions library)

When you onboard to PropertyIQ your payment notice templates – annual levy notices, levy/fee due notices, arrears notices, final notices and legal notices need to be edited and checked for format to ensure your lot owner’s DEFT reference numbers and Australia Post charge is showing correctly.  Your customer success manager will assist you with this during on-boarding or you can email support@propertyiq.com.au for assistance.

Custom merge templates

These are for correspondence and documents you use for specific purposes. You will need to create custom merge templates for:

  • General lot owner and committee/council correspondence
  • Cover sheets for levy/fee notices (if required)
  • Cover sheets for financial reports (if required)
  • Insurance claims
  • Access register sign out document

How to add, clone and edit a standard email template (3 mins)

 

Standard email templates

These are the covering emails for program generated documents when recipients elect to receive documents via email.  There is generic wording for some templates in PropertyIQ, but you should edit these prior to emailing any program generated documents. The types are:

  • Annual Levy Notice – covering email that is automatically sent when an annual levy notice is emailed to lot owners. This is generated if you have ticked to send annual levy notices in your Application Settings
  • Arrears Notice – covering email that is automatically sent when you email an arrears notice from the Due Notices screen
  • Custom Template – covering email that is automatically sent when using the merge function from the lots owner screen or when sending documents from the building card, lot owner card, supplier card, work order card, meeting or insurance claim
  • Debtor Invoice – covering email that is automatically sent when you send a debtor invoice
  • Final Notice – covering email that is automatically sent when you send a final levy notice to a lot owner from the Due Notices screen
  • Financial Reports – covering email that is automatically sent when you send financial reports
  • Insurance Claim – covering email that is automatically sent when you send an insurance claim document to recipients from the insurance
  • Invoice Approval – covering email that is automatically sent to committee members that are ticked as external approvers, when an invoice is set for external approval
  • Legal Notice – covering email that is automatically generated when you send a legal notice to a lot owner at the final stage of levy arrears from the Due Notices Screen
  • Meetings Minutes Notice – covering email that is automatically sent when you send meeting minutes to lot owners from the meeting
  • Meeting Notice – covering email that is automatically sent when you send meeting notices to lot owners from the meeting card
  • Reminder Notice – covering email that is automatically sent to lot owners when you send levy/fee instalment notices from the Due Notices screen
  • Remittance Advice – covering email that is automatically sent to a supplier when you conduct a Supplier Payment
  • Request for Tender – covering email that is automatically sent to each quoting tradesperson when you issue a quote request from a work order
  • Special Notice – covering email that is automatically sent when you send special levy/fee notices to lot owners from the special levies function
  • Supplier Compliance Expired – email that is generated automatically if you have enabled a supplier compliance expired email in the Settings>Supplier Compliance tab
  • Supplier Compliance First Reminder – email that is generated automatically if you have enabled a supplier compliance first reminder email in the Settings>Supplier Compliance tab
  • Supplier Compliance Second Reminder – email that is generated automatically if you have enabled a supplier compliance second reminder email in the Settings>Supplier Compliance tab
